Describe the occasion and atmosphere
Share the date, location, party size and reason for the gathering. Would you prefer a relaxed meal, a quiet conversation or a longer celebration? Tell us about timing constraints and existing arrangements, including a hotel stay or onward journey. Our planning suggestion is to choose the atmosphere before narrowing down venues.
Give preferences early
Switzerland Tourism recommends contacting restaurants in advance about dietary requirements and making reservations at popular venues. Send the relevant requirements before choosing a menu, and ask the venue to confirm what it can accommodate. For allergies, confirm directly with the restaurant rather than assuming a menu description is sufficient.

Zürich Tourism publishes a directory of vegan restaurants, which can be a useful starting point for a plant-based meal. A listing helps you discover options; check the venue's current menu, opening days and suitability for your group directly. The same approach applies to other cuisine preferences.

If you want a private room, flowers, a cake, music or a particular seating arrangement, describe it as a request and ask the venue what is permitted. Confirm any additional charges, setup time and supplier arrangements in writing. A restaurant reservation does not automatically include those extras.
Agree the costs and booking terms
Ask what the quoted amount covers: food, drinks, room hire, decorations or other requested details. Check whether a deposit, minimum spend or cancellation charge applies, and when the final guest count is needed. Keep the written confirmation together with your timing and contact information. An enquiry is a starting point; arrangements depend on availability and confirmed terms.
